Introduction
On the new website, we will be integrating with Google Maps for store locators with interactive maps, and thus the accuracy of all our store information (e.g. trading hours, locations, etc.) is important. These details could be managed through Google My Business (GMB).
We know some of the markets are already managing their own store locations, and some are new to this. By searching in Google maps, you will see all Toys“R”Us stores in your district are in different naming format. These store locations are not completely claimed and owned by our teams, which implies each team is doing in their own way without common standards and supervision.
What are we going to do?
For the purpose of security and better control of access and management, we need to restrict the primary owner of Google locations and all other cloud services to be [email protected].
Who will do this?
The Regional team will be taking over the owner role of all the existing claimed locations, and for the new locations/any accounts that will be created in the near future, you are required to set the primary owner or admin role to be [email protected] as well.
Timings
Please start working on this as soon as possible since it takes time to manage or update all the users account especially if you are the role of Owners.
Create a Google account using TRU email address
Before you start, you will need to create a Google account but what need is not a Gmail account. You are required to create a Google account by using your work email (@toysrusasia.com). Here are the steps:
1. Please visit https://accounts.google.com/
2. Click “Create account”, then select “For my personal use”
3. Fill in your name
4. Fill in your birthday and gender
5. Click “Use your existing email”
6. Please register with your work email (@toysrusasia.com) and finish the rest of the steps. Done!
Role Setting Details
For the case of Google, there will be 4 major roles and below are the details for each role to help you understand what they are accountable for. Similar case could be applied.
1. Primary Owner/ Admin role (Regional API settings)
This will only be [email protected] above all your local accounts.
It will be used to build API integrations, and for central management.
2. Owner role (Local settings)
This will be the local ecommerce teams (group mailbox account as per below table).
An Owner account should never be used as a login for day-to-day use.
Owner accounts are only to be used for Account Settings and Admin control.
For Google, I have already created the accounts for all our local teams. The password will be shared later individually.

3. Manager role (Individual access)
This will be eCommerce or Marketing team members’ individual logins.
This is for your day-to-day use. Please create accounts with your work email (@toysrusasia.com) under any circumstances. Personal email such as Gmail accounts are prohibited.
Every employee should have a separate user login using @toysrsusasia.com email and the local eCommerce & Marketing Managers are responsible for ensuring that logins are never shared and disabled when someone leave the company.
4. Site Manager role (Individual access)
This will be Customer Service team members’ individual logins.
This is for your day-to-day use. Please create accounts with your work email (@toysrusasia.com) under any circumstances. Personal email such as Gmail accounts are prohibited.
For other Accounts, their role division may not be exactly the same as Google, but please take reference to this instruction and this theory always applies where applicable.
